Valued Shops is aware that you trust us. We see it as our responsibility to protect your privacy. On this page, we inform you about the data we collect, why we collect it, and how we use it to improve your user experience. This way, you understand exactly how we operate.

This privacy policy applies to the services of Valued Shops. You should be aware that Valued Shops is not responsible for the privacy policy of other sites and sources including members, partners, and sub-processors.

Valued Shops respects the privacy of all users of its site and ensures that the personal information you provide is treated confidentially.

Use of Our Website

Purposes of Data Collection on Website Usage

We collect data for research to gain a better understanding of our visitors, so we can tailor our services accordingly. We do this, among other things, through Google Analytics. We anonymize your IP address and have an agreement with Google stating that your data will not be shared with third parties. We also use Facebook and Twitter like & share buttons. These services can place cookies.

Cookies

This website uses ‘cookies’ (small text files placed on your computer) to help analyze how users use the site. The information generated by the cookie about your use of the website may be transmitted to Valued Shops’ own secure servers or those of a third party. We use this information to track how you use the website, compile reports on website activity, and provide other services related to website activity and internet usage.

There are various types of cookies, namely:

• Functional cookies: These cookies are necessary for the website to function optimally. On our website, a cookie from OneSignal is placed for this purpose;

Use of Our Services

Purposes of Data Collection upon Registration

We use your data solely for the purpose of our services. This means that the purpose of the processing is always directly related to the order you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data in ways other than at your request or to contact you at a later time, we will explicitly ask for your permission. Your data is not shared with third parties, except to fulfill accounting and other administrative obligations.

Registration

When you register for one of our services, we ask you to provide personal data. Personal data includes all information about a natural person that could identify that person. This may include a name, phone number, identification number, IP address, or physical characteristics.

This data is used to perform the service. Without this data, it is not possible for us to enter into an agreement. The data is stored on secure servers of Stichting Valued Shops or those of a sub-processor.

The personal data we receive in the case of a registration is processed with the aim of assessing the reliability of your online store and informing consumers and interested parties about it. In this context, we can distinguish five main processes:

• We conduct inspections of online stores based on European legislation;
• We maintain a register in which we record all (former) members for the management of the certification mark;
• We collect, publish, and moderate customer reviews about our members;
• We mediate and document disputes between our members and their private customers;
• We inform about various important aspects within e-commerce.

Customer Reviews

For members, it is possible to ask their customers to leave a review. In this case, the customer is informed of the following conditions in advance.
• Customer reviews can be imported and viewed by the owner of the online store.
• Customer reviews can be displayed elsewhere to demonstrate the reliability of the online store.

Sub-Processors

To fully perform our services, we use sub-processors. These parties receive personal data from us to process it. These parties process their data only within the EU or have concluded a model contract (SCCs) with us and also take the necessary steps for a good data connection.

Retention of Personal Data

Valued Shops processes and retains your personal data no longer than necessary. This is at least during your membership. Data from the certification register, customer reviews, and data related to disputes are retained for a maximum of seven years. Data related to inviting consumers to write a review is retained for one year. Your personal data used for newsletter subscriptions is deleted upon unsubscribing from the newsletter. We store personal data in a secure database on a server located in England.

Managing Personal Data

Valued Shops believes that the systems used must always function properly and have sufficient capacity. Therefore, we strive to take technical and organizational measures to secure the personal data of our users against loss or unlawful use. We have at least taken the following security measures:
• Network connections for our computer systems where data processing takes place are secured via SSL encryption (128-bit);
• If a remote connection is established with a computer system where data processing takes place, access is secured;
• Access to the computer systems where data processing takes place is secured with a username and password;
• We maintain a strong password policy. Each password has at least 8 characters, at least 1 letter, at least 1 number, at least 1 symbol, and may not contain a previously used sequence of characters;
• All computer systems where data processing takes place have a reliable virus scanner that is always up-to-date;
• Mobile data carriers such as USB sticks, if used, are protected against reading with a password;
• No personal data is stored on a private computer;
• A backup is kept for a period of one year. Our backup files cannot be directly read;
• All our employees, interns, freelancers, sub-processors, and other third parties are obligated to maintain confidentiality. This is only waived with your explicit written consent or if the law requires us to share the data;
• Unattended data carriers are stored in a safe;
• Old and unnecessary documents are destroyed accurately;
• In case of suspected criminal offenses, we reserve the right to share information with (official) authorities.

General

Communication

When you send email or other messages to us, it is possible that we keep those messages. Sometimes we ask for your personal data relevant to the situation. This makes it possible to process your questions and respond to your requests. The data is stored on secure servers of Valued Shops or those of a third party.

Adjusting/Unsubscribing from the Newsletter Service

At the bottom of every mailing, you will find the option to update your information or to unsubscribe.

Visitor Rights

Under current Dutch and European legislation, you as a data subject have certain rights regarding the personal data processed by or on behalf of us. Below, we explain what these rights are and how you can invoke them.

In principle, to prevent misuse, we send copies of your data only to your already known email address. If you wish to receive the data at another email address or, for example, by post, we will ask you to identify yourself. We keep a record of processed requests, and in case of a forget request, we administer anonymized data. All copies of data you receive are in a machine-readable data format that we use within our systems. You always have the right to file a complaint with the Data Protection Authority if you suspect that we are misusing your personal data.

Right of Access

You always have the right to access the data we process or have processed that relate to your person or can be traced back to you. You can submit a request to that effect via our general email address. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all data to your known email address, including an overview of the processors who have this data, indicating the category under which we have stored this data.

Right to Rectification

You always have the right to have the data we process or have processed that relate to your person or can be traced back to you, adjusted. You can submit a request to that effect via our general email address. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation that the data has been adjusted to your known email address.

Right to Restriction of Processing

You always have the right to restrict the data we process or have processed that relate to your person or can be traced back to you. You can submit a request to that effect via our general email address. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation that the data will no longer be processed until you lift the restriction.

Right to Data Portability

You always have the right to have the data we process or have processed that relate to your person or can be traced back to you, transferred to another party. You can submit a request to that effect via our general email address. You will receive a response to your request within 30 days. If your request is granted, we will send you copies of all data about you that we have processed or have been processed on our behalf by other processors or third parties to your known email address.

In all likelihood, Valued Shops will no longer be able to continue providing the service because the secure connection of data files can no longer be guaranteed.

Right to Object and Other Rights

In certain cases, you have the right to object to the processing of your personal data by or on behalf of Valued Shops. If you object, we will immediately stop processing your data pending the resolution of your objection. If your objection is justified, we will provide you with copies and/or copies of data we process or have processed, and then permanently stop processing your data.

You also have the right not to be subjected to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe that this is the case, please contact us via our general email address.
